Our Privacy Notice helps you understand what information we collect about you at R3 Energy Recruitment Services, how we use that information and how you can control information about you that we hold. When we say “R3”, “we”, “our”, or “us” we are referring to R3 Energy Recruitment Services.

GDPR

The General Data Protection Regulation (GDPR) (Regulation (EU) 2016/679) is a new regulation which replaces the Data Protection Regulation (Directive 95/46/EC). The Regulation aims to harmonise data protection legislation across EU member states, enhancing privacy rights for individuals and providing a strict framework within which commercial organisations can legally operate.

Your new rights under the GDPR are set out in this notice but will only apply once the GDPR becomes law on 25th May 2018.

Who we are and what we do

We are a recruitment agency and recruitment business as defined in the Employment Agencies and Employment Businesses Regulations 2003 (our business).  We also provide the following other services: management consultancy, market research, and outsourcing

As a recruitment agency the Company collects and processes both personal data and sensitive personal data. It is required to do so to comply with other legislation. It is also required to keep this data for different periods depending on the nature of the data.

Data protection principles

We will comply with data protection law. This says that the personal information we hold about you must be:

  1. Processed lawfully, fairly and in a transparent way.

  2. Used for specified, explicit purposes and not used in any way that is incompatible with those purposes.

  3. Adequate, relevant and limited to what is necessary in relation to the purposes for which they are processed

  6. Handled in a way that ensures appropriate security, including protection against unlawful or unauthorised processing, access, loss, destruction or damage.

The information we may collect

We might collect, store and use the personal data of the following types of people to allow us to undertake our business:

  • Prospective and placed candidates for permanent or temporary roles;

  • Prospective and active client contacts;

  • Supplier contacts to support our services;

  • Employees, consultants, temporary workers;

  • Respondents to market research surveys;

  • Visitors to our website:

  • Attendees of events hosted by us; and

  • Supporters of or participants in CSR initiatives undertaken by us.

R3 collects personal data about you to provide you with work-finding services. Personal data consists of information including your name; address; e-mail address; copy of identity documents, such as passport, driving licence, utility bills; National Insurance number; bank account details, payroll records and tax status information; salary, annual leave, pension and benefits information; work and education history and your responses to and the results of assessments plus details.

We may also collect, store and process sensitive personal information, such as information on physical and mental health, sexual orientation, race or ethnic origin, religious beliefs and criminal records and offences as part of a recruitment process.​

How may your personal information be collected? 

Through an application and recruitment process. We may sometimes collect information from third parties including former employers, credit reference agencies or other background check agencies. Individuals at clients may provide us with their contact details as part of a discussion about our services.

We may also collect personal data which is publicly available on websites such as jobs boards, LinkedIn, or similar recruitment-related websites.

We may use third-party applications which source their data from publicly-available websites.
We may collect additional personal information in the course of job-related activities throughout the period of you working for or with us.


Unfortunately, the transmission of information via the internet is not completely secure. Although we will do our best to protect your personal data, we cannot guarantee the security of your data transmitted to our site; any transmission is at your own risk. Once we have received your information, we will use strict procedures and security features to try to prevent unauthorised access.

How we may use information about you

R3 may hold personal data on individuals for the following purposes:

  • Staff administration;

  • Advertising, marketing and public relations (please refer to our Marketing Policy);

  • Accounts and records;

  • Administration and processing of work-seekers’ personal data for the purposes of providing work-finding services, including processing using software solution providers and back office support; and

  • Administration and processing of clients’ personal data for the purposes of supplying/introducing work-seekers.

  • Data sharing

We may have to share your data with third parties, including third-party service providers and other entities in the group.

We require third parties to respect the security of your data and to treat it in accordance with the law. We may transfer your personal information outside the EU.

If we do, you can expect a similar degree of protection in respect of your personal information.

Why might you share my personal information with third parties?

We may share your personal information with third parties where required by law, where it is necessary to administer the working relationship with you or where we have another legitimate interest in doing so.


Which third-party service providers process my personal information?

"Third parties" includes third-party service providers and other entities within our group. The following activities are carried out by third-party service providers: payroll, pension administration, benefits provision and administration, IT services, and recruitment services.​

We do not accept claims of liability or responsibility in any way for these policies or links, as we have no way to control the third party sites.

Third parties may only process your personal information on our instructions and where they have agreed to treat the information confidentially and to keep it secure.

We have put in place appropriate security measures to prevent your personal information from being accidentally lost, used or accessed in an unauthorised way, altered or disclosed. In addition, we limit access to your personal information to those employees, agents, contractors and other third parties who have a business need to know. They may only process your personal information on our instructions and they are subject to a duty of confidentiality.

We have put in place procedures to deal with any suspected data security breach and will notify you and any applicable regulator of a suspected breach where we are legally required to do so.​
